Human Resources Research Organization Clerical Resources Manager - NOV20-01 in Louisville, Kentucky

The Human Resources Research Organization (HumRRO), a non-profit national leader in workforce assessment, human capital consulting, and educational research, is looking for a full time Clerical Resources Manager to join our growing organization. You will perform clerical work for about 75% of your time and will manage a small group of clerical support staff for about 25% of your time. Your group will be responsible for ensuring HumRRO work products and proposals are free of typing, spelling, and grammatical errors, and comply with the appropriate HumRRO or client formatting requirements and with Section 508 of the Rehabilitation Act, as amended by the Workforce Investment Act of 1998. Your group will also be responsible for keeping up-to-date corporate document repositories such as staff resumes, project abstracts, and technical reports. As the leader of this group, you will collaborate with HumRRO researchers, managers, business developers, proposal specialists, contract specialists, and graphic artists to delegate, oversee, and perform clerical support work.If you enjoy working closely with a variety of people and departments in a clerical support leadership role, this is the job for you!

You will conduct one or more of the following tasks:

  • Oversee the day-to-day work of assigned clerical support staff, ensuring that work is accomplished in a highly accurate and timely manner.
  • Ensure that direct reports adhere to deadlines, procedures, and quality standards; work to resolve any problems or errors.
  • Monitor staffing requirements and adjust work schedules or recruit and select new staff, as needed
  • Perform mid-year and annual performance reviews of assigned staff.
  • Provide training on job duties and company policies and procedures or arrange for proper training to be provided to assigned staff; engage in training to develop and maintain your own skills.
  • Answer questions and address and resolve complaints and concerns regarding clerical resource services.
  • In collaboration with corporate executives, help develop and execute processes to ensure efficient work flows and quality assurance touchpoints.
  • Take responsibility for maintaining accurate and complete document repositories such as resumes, project abstracts, and technical reports; suggest improvements to processes and tools as needed.
  • Work closely with HumRRO proposal managers, proposal specialists, and contract specialists to ensure that proposals are formatted properly and ready for next steps, often under deadline pressure.
  • Type and format documents in word-processing and/or presentation software (Microsoft Office 365 tools; Adobe pdf)
  • Apply American Psychological Association (APA) and HumRRO or client style guides to documents.
  • Evaluate and prepare materials that comply withSection 508 of the Rehabilitation Act (29 U.S.C. 794d), as amended by the Workforce Investment Act of 1998 (P.L. 105-220).
  • Collaborate with graphic artists to incorporate images and graphic objects into documents or presentations.
  • Act as point of contact for assigned staff on questions related to the use of various word-processing or document preparation software programs (e.g., Microsoft Word and PowerPoint, Adobe pdf).
  • Prepare job aids or educational presentations for all HumRRO staff to enhance compliance with processes for formatting document, resumes, project abstracts, etc.
  • Perform other related duties as assigned.

Basic Qualifications:

  • High school degree and at least 7 years of relevant experience performing clerical support work.
  • At least 3 years of experience supervising clerical support staff, or equivalent.
  • At least 5 years of experience with Microsoft Office word-processing (Word) and presentation (PowerPoint) software.
  • Experience working with pdf applications such as Adobe.
  • Strong knowledge of APA style guidelines.
  • Working knowledge of online document sharing applicati ns, such as Microsoft Teams and Google docs.
  • Solid communication skills (with the ability to understand and explain formatting requirements and production schedules).
  • Proven ability to collaborate effectively with a variety of people.
  • Proven ability to juggle and prioritize competing demands.
  • Proven ability to perform work conscientiously and with a high level of attention to detail.
  • Willing to take responsibility for accuracy of own work, and able/willing to quality check own work.
  • Ability to work both independently and in a team.

Preferred Qualifications:

  • Bachelor's degree
  • Detailed knowledge of Microsoft Office 365 applications including Sharepoint, Forms, etc.
  • Working knowledge of Microsoft Excel.

This position will be located at our corporate headquarters in Old Town Alexandria, VA. The successful applicant will primarily work on-site at corporate headquarters, with flexibility to remote/telework intermittently as approved by management.
