As the current job holder is moving into a new role in our company, we are now looking for a

EXECUTIVE ASSISTANT

to provide administrative support to the General Manager of our affiliate in Finland.

In this role you will offer general support to the General Manager, Affiliate Management Team and Crisis Action Team in administration and organizational matters. You also have responsibility for selected projects and events. You report to the General Manager in Finland and your role is located in Pasila, Helsinki.

As an Executive assistant, you provide support for our General Manager in

  • administrative tasks incl. calendar, travel and expense management

  • management of the day-to-day business of the General Manager's office

  • Meeting planning, coordination and execution

  • planning and practical organization of All Employee Town Halls and other affiliate meetings

  • culture & communications support in collaboration with External Affairs and Human Resources

  • reviewing contracts and purchasing documents, setting up POs to support GM approval

  • administration of corporate legal documents and processes

  • administration of Crisis Management resources meetings incl. minutes and Business Continuity Plan.

In your role you support the Affiliate Management Team, by helping the new team members to onboard, planning and organizing the Management Team meetings, administering the agenda, minutes and following-up the agreed actions. You also support Management Team members in selected administrative and organizational matters.

In addition, you will administer several office-related tasks, drive affiliate-wide events, e.g. National Affiliate Meeting, Business meetings and coordinate Company Awards incl. nominations together with the Management Team. You are a key member of the Affiliate coordinator team and actively collaborating cross-functionally.

Qualifications

In order to succeed in this role, we expect you to have a commercial education and minimum 5 years of experience in senior administrative roles, preferably in a similar role. Your customer orientation and high level of support enables you to quickly establish your role in our organization, both locally and within the international network. You have excellent time management and prioritization capabilities, and you handle stress and pressure with grace. You have excellent written and verbal communication skills, and you are able to communicate effectively with diverse stakeholders both in Finnish and in English.

Your high degree of integrity, level of discretion, ability to plan ahead and foresee upcoming needs, as well as flexibility with respect to tasks and time utilization helps you thrive in this role.
