Job Description

Reporting to the Assistant Director, Data Management, the Records Assistant is responsible for monitoring and maintaining the accuracy, integrity, and quality of Advancement’s alumni and donor records. Accurate and meaningful data is foundational to supporting the mission of BC’s University Advancement. Through the identification, diagnosis, and resolution of dataintegrity issues and errors, Advancement data will better support engagement and fundraising activities, resulting in stronger results, community tools, and constituent satisfaction. Specifically, the Records Assistant assists with:

● Manual data entry into University Advancement 500,000 record constituent database.

● Importing data files from various sources through BrightVine data loader user interface.

● Daily reconciliation of donor demographic data essential to processing gifts to the University.

● Ensuring the integrity of the database through the execution of daily audit reportsand regular maintenance of data records.

● Generate weekly and monthly data reports, and store completed work in designated locations.

● Processing of all returned mail and contact preference update forms.

● Customer service inquiries via phone, email, and affinity web form correspondence.

● Testing of new and existing database integration systems and features.

● Research records for special lists and report preparation.

● Analyze source information such as internal and external reports, and correspondence between donors and employees; compile and verify the accuracy of data using Lexis/Nexis, IWave, Alumnifox, Alumnifinder, WhitePages, Obituary.com, and NCOA data research services.

● Technical support for alumni trying to access the online alumni community.

● Performing other related duties as required.

Hiring Range: $22.74/hr to $28.35/hr. Pay rate commensurate with relevant experience.

Requirements

Requirements:

This position requires a high school diploma, a bachelor’s degree is preferred, and a minimum of one year of general office experience, a respect for confidentiality, attention to detail and accuracy, and general knowledge of accounting principles. A desire to build a career in advancement is a plus.

Must be a team player who is highly motivated and dedicated to the goals of advancing higher education and have an appreciation for Jesuit Catholic education and the goals and values of Boston College.
