Responsibilities

  • Serve as primary lead for designated meetings; lead development of educational and scientific program planning, committee work, and delivery of meeting goals, including creation of meeting-specific timelines and project plans that consider relevant interdependencies for tasks and team members
  • Lead committee discussions during the program development process, including education development and abstract placement calls, to meet goals for the meetings
  • Plan, innovate, and deliver programs consistent with the evidence of how people learn, leveraging the differences between the in-person and virtual experiences; work in concert with other teams to ensure that continuing education standards/best practices are met
  • Identify and address overlap and gaps in content, formats, and delivery based on understanding of customer needs, informed by committee feedback, attendee evaluations, customer experience data, and needs assessments
  • Evaluate and interpret meeting-related ASCO policies and procedures, planning processes, budgetary limitations and mechanisms of approval; work with division leadership to plan the budget for meetings
  • Serve as liaison with Meetings Department on logistical components of programs and activities, as well as with Integrated Communications and Marketing and Conquer Cancer for meeting-related work
  • Facilitate operations of databases, websites, meeting applications, and online tools, including responsibility for testing and pro-active problem-solving with other teams as needed
  • Plan onsite roles for staff working onsite at designated meetings; provide onsite support at meetings including delegating tasks to other onsite staff
  • Accurately design and guide the preparation of and distribution of volunteer communications by the team, including responding to inquiries and producing minutes from committee meetings
  • Provide mentoring, training, feedback, and task delegation to dotted-line staff, and ensure best-in-class customer service through responsiveness to volunteer and customer (internal and external) needs related to the planning and implementation of our meeting programs

Required Education and Experience

  • Bachelors degree in related field or equivalent years of experience
  • 6+ years of experience in meeting planning and/or abstract management
  • 2 -3 years of supervisory experience
  • Proficiency with Microso t Office programs (Word, Excel, PowerPoint, and Outlook); and an openness to embracing and mastering new technology

Preferred Education and Experience

  • Association, healthcare or education background preferred

  • Excellent communication skills with ability to convey information in different ways to ensure that its understood, and requests/accepts/delivers feedback honestly
  • Strong leadership and managerial/supervisory skills with the ability to delegate, motivate and develop staff
  • Ability to navigate multiple projects and priorities with tight deadlines and limited supervision
  • Excellent customer service skills and ability to communicate professionally with a wide variety of audiences and builds effective relationships
  • High level professionalism that maintains and delivers high standards despite competing priorities and project challenges
  • Self-managed with proven skills to use initiative, time management, and organizational skills to prioritize work to deliver results with attention to detail
  • Ability to work collaboratively, team-oriented manner; partners with others to achieve results
  • Sound good judgement and selects appropriate solutions to problems that arise

ADA/Physical Requirements

Fast-paced office environment with extended periods seated or standing at a desk.

High use of computer and other office technology equipment.

Travel

11-20 days/yr including international travel
